Manage scheduling from receiving requests to confirming viewing dates.

How to coordinate viewing schedules

Option 1

Self-guided viewing by applicant only

The applicant views the property on their own. Sending clear same-day instructions helps reduce trouble.

Recommended flow

  • Once the date and time are fixed, share lockbox location, entry steps, and exit rules in one message
  • It is recommended to share the passcode right before the viewing (e.g., 1 hour before start)
  • Clearly state exit rules (lock the door, turn off lights, etc.)

What to include in same-day instructions (template)

  • Property address / room number
  • Lockbox location (easy-to-follow explanation)
  • Entry-to-exit procedure (door must be locked, etc.)
  • Contact method (ATLAS “Viewing Request” message is fine)

Option 2

Owner accompanies the viewing

The owner attends the viewing in person. You can coordinate time and same-day communication through messages on the “Viewing Request” screen.

Recommended flow

  • Clarify the meeting point (e.g., in front of the property / nearest station exit)
  • Use only the “Viewing Request” message thread for late arrivals or if someone gets lost
  • For each slot, reserve 30 minutes + 10-minute buffer

Option 3

Handled by ATLAS DOT ONE (paid plan)

ATLAS DOT ONE handles the viewing with the applicant. The owner does not need to attend.

What we ask from owners

  • Please send the key to ATLAS DOT ONE in advance
  • After that, ATLAS DOT ONE handles schedule coordination and same-day operations

Handling reschedules and cancellations

Changes and cancellations are managed under ATLAS DOT ONE common rules. If there are changes, please contact us from the message thread on the “Viewing Request” screen.

When the applicant requests a reschedule or cancellation

  • We ask applicants to notify us of schedule changes/cancellations as early as possible
  • We generally request same-day changes or late-arrival notices by 2 days before, but communication is still possible on the day via the “Viewing Request” message thread
  • If there is a no-show or similar issue, please submit a violation report on the viewing request page. ATLAS DOT ONE will decide the handling policy

When the owner needs to change the schedule

  • If a schedule change is unavoidable, contact the applicant via the “Viewing Request” message thread as soon as you know, and propose alternative dates
  • If attending becomes difficult, consider switching to “self-guided viewing” or “handled by ATLAS DOT ONE (paid plan)” depending on the situation

Important notes for self-guided viewing (lockbox)

  • We recommend not sending the passcode until the schedule is finalized
  • If the viewing is canceled, manage key security as needed (e.g., change the passcode)
